How to Dictate in Word: Setup, Commands and Fixes
Turn on dictation in Word on a PC, on a Mac and in the browser. Requirements, spoken commands, honest limits and a checklist when Dictate is grayed out.
Updated 6 August 2026. Short answer: open your document, click Home, then click Dictate. When the mic icon lights up, the app writes what you say. On a Mac, ⌥ + F1. It needs a Microsoft 365 subscription, a microphone and a connection.

How to find the Dictate button
Home tab of the ribbon, right-hand end. Same everywhere.
Word for Windows
- Set the cursor where the text should land.
- Open the Home tab.
- Click Dictate and allow the microphone.
- Speak. After a pause, ALT + backtick resumes.
Word for Mac
Same path as on a PC; the keyboard shortcut is ⌥ (Option) + F1.
Word for the web
Sign in, open the file, click Home. A floating menu appears; click the mic icon to stop and start, gear for settings.
What you need
A subscription. The Dictate feature is tied to one: “The dictation feature is only available to Microsoft 365 subscribers.”
A current PC. “Only versions of Windows 10 and above support usage of this feature.”
A microphone. Built-in mics carry short notes; for long documents, a headset.
A connection. Processing happens on Microsoft servers, not yours.
You can use Dictate in PowerPoint and Outlook 365 desktop. Office 365 and Microsoft 365 are one subscription, two names.
Spoken commands
Punctuation
Say “period”, “comma” or “question mark” and the mark appears. A comma is quicker spoken than fixed.
Editing
“Delete that” drops your last utterance. “Delete tomorrow” removes the last word you name.
Commands format text as well: “bold tomorrow”, “underline last sentence”.
What word dictation does well
For a tool that ships with the suite, the basics are solid.
Fifteen languages are fully supported; forty more are previews with “lower accuracy or limited punctuation support”.
Auto-punctuation is a toggle, “if it’s available for the language chosen”.
Content gets down before the thought escapes. Word can mask sensitive phrases.
Word does not save the recording: it “does not store your audio data or transcribed text”.
Where dictation in Word falls short
Marks are manual. Speak every one, or trust auto-punctuation where it exists.
Formatting interrupts. “bold tomorrow” cuts the thought you were chasing.
No cleanup, no context. Filler words stay, and a contract clause reads like a note to a colleague.
Editing the text after is yours.
It stops at the suite. Not in a chat app or a code editor.
Transcription is a different feature
Transcribe is the other Microsoft feature: an audio file becomes a transcript with speakers separated. 300 minutes a month, Edge and Chrome only.
Dictate in Outlook
New Outlook: click Message, then Dictate. Shortcut: ALT + backtick.
Outlook for Mac: same path, Message tab.
Requirements match Word: subscription, microphone, connection.
When dictation in Word stops working
Work the official list in order.
Signed in with an active subscription?
Microphone plugged in, unmuted, selected?
Another app holding the microphone? Close it.
In the browser, reload and grant permission.
Using the built-in mic? Try an external.

When it is grayed out
Microsoft’s first answer: “Please verify you’re signed in with an active subscription.”
On managed machines, click File, choose Options, then Trust Center, and check that Office intelligent services are on. Locked boxes mean IT decides.
Voice typing not working on Windows
The operating system has its own dictation, no subscription. Press the Windows key and H, then talk wherever the cursor sits.
When it fails: the connection, microphone permission or input device. Open the Start menu, type Settings, then Privacy, click Speech, and turn on online speech recognition.
